Microsoft 365 Copilot

AI assistance across Microsoft 365 applications using organizational context while respecting Microsoft 365 permissions.

Technical Overview

Microsoft 365 Copilot is an AI assistant built into Word, Excel, PowerPoint, Outlook, Teams and more. It uses large language models together with Microsoft Graph, so responses are grounded in the user's own work content and respect existing permissions.

It works through Copilot in the apps, Microsoft 365 Copilot Chat with work grounding, and Copilot Studio and agents for custom scenarios.

How Microsoft 365 Copilot works

A five-step technical flow.

Technical architecture

Operating flow of Microsoft 365 Copilot from onboarding to outcome.

  1. 01User promptA user asks Copilot from an app or chat.
  2. 02GroundingMicrosoft Graph retrieves relevant content the user can access.
  3. 03LLM processingThe model builds a response inside the Microsoft 365 service boundary.
  4. 04Security checksPermissions, labels and compliance policies are applied.
  5. 05ResponseOutput appears in the app with references and controls.

User prompt → Grounding → LLM processing → Security checks → Response

Core Capabilities

Copilot drafts and summarises documents and emails, analyses data in Excel, builds presentations, summarises meetings and chats, and finds information across Microsoft 365. Agents and connectors extend it to line-of-business systems, and admin controls manage access, data and usage.

Integrations

Copilot relies on Microsoft Entra ID, Microsoft Graph, SharePoint, OneDrive, Exchange and Teams, and honours Purview sensitivity labels, DLP and retention. It extends through Graph connectors, plugins and agents built in Copilot Studio.

Key benefits

Main outcomes you can expect.

  • 01ProductivityLess time on drafting, summarising and searching.
  • 02Better MeetingsRecaps, actions and follow-ups.
  • 03Existing SecurityUses your current permissions and labels.
  • 04ExtensibleAgents connect to business data and workflows.

Implementation Approach

We assess licences and readiness first, then clean up oversharing in SharePoint and OneDrive, apply sensitivity labels, and review access. A pilot group is enabled with training and prompt guidance, adoption is measured, and rollout expands in waves with governance and support.

Operational & Security Considerations

Copilot exposes whatever a user can already access, so permissions and data hygiene matter. Requires eligible Microsoft 365 licences plus the Copilot add-on. Set usage policies, review Purview and audit settings, and verify feature availability by app and region.
